Job Description

General Description:

Performs highly complex (senior level) professional assistance work for executive staff. Work involves providing high-level administrative support. Performs routine purchasing and procurement work.  Work involves researching, evaluating, and purchasing and procuring commodities, supplies, and services in accordance with guidelines, rules, policies, and laws. Performs routine records and information management work. Work involves reviewing, recommending, and maintaining a records management program. Works under limited supervision with moderate latitude for use of initiative and independent judgment built upon a broad-based understanding of agency operations and applicable laws, statutes, and regulations.

Essential Job Functions
  • Prepares and edits reports, correspondence, memos, charts, presentation slides, testimony, forms, and spreadsheets.
  • Prepares, reviews, and finalizes meeting notices, agendas, meeting materials, and handouts.
  • Greets visitors and fields calls.
  • Coordinates calendars and meetings.
  • Coordinates travel arrangements.
  • Prepares and reviews purchase requisitions and orders.
  • Reviews invoices and checks for accuracy, receipt of material, and compliance with purchase orders.
  • Processes competitive procurements and receipts of purchases.
  • Provides assistance to employees on a variety of matters related to records and information management.
  • Gathers information to help with the identification of records to ensure they are correctly categorized for records retention.
  • Maintains records disposition logs.
  • Coordinates certification of agency record retention schedule.
  • Performs other related work as assigned.
Minimum Qualifications

Applicants must demonstrate on the application how the following qualifications are met:

  • Graduation from an accredited four-year college or university with major coursework in business administration or a related field is generally preferred.  Experience and education may be substituted for one another.
  • Two (2) years of experience as an executive assistant or in a high-level administrative support role.

Preferred Qualifications

  • Experience with procurement
  • Experience working for a regulatory agency.
  • Four years full-time experience working with well-defined procedures.
  • Exposure to working on issues related to consumer credit, financial industries, and state government.

Knowledge, Skills, and Abilities

  • Knowledge of accepted business practices;
  • Knowledge of applicable rules, regulations, and policies;
  • Knowledge of purchasing methods and procedures;
  • Knowledge of classifying records and concepts of information governance;
  • Skill in understanding and processing information,
  • Skill in the use of standard office equipment and software,
  • Ability to handle high-level administrative issues;
  • Ability to analyze data and solve work-related problems;
  • Ability to communicate effectively;
  • Ability to provide guidance to others.

Physical Requirements:

The position requires the employee to primarily perform sedentary office work; however, mobility (moving around the worksite) is routinely required to carry out some duties. This position requires extensive computer, telephone, and client/customer, occasionally lifting up to 20 pounds.
